What Are Custom Appointment Types?

Every clinic has its own appointment flow, from first visits to regular check-ups. With Custom Appointment Types, you can define exactly how your clinic’s calendar works: how long each visit takes, what it’s called, and how it looks on your schedule.

Creating clear and colorful appointment types makes your calendar easier to read, helps your team stay organized, and gives you cleaner data to understand patient flow and clinic performance.

Step-by-Step: Creating a Custom Appointment Type

  1. Go to Main Menu → Appointment Settings → Calendar Settings

  2. Scroll down to the "Appointment Types" section

  3. Click "Create"

  4. Fill in the following fields:

    • Name: e.g., Consultation, Implant Control, Follow-up

    • Duration (min): how long the appointment usually lasts

    • Color: choose a color to display on your calendar

    • Status: turn it on to make it active

  5. Click "Save"

💡 Tip: Choose colors strategically; for example, light blue for consultations and pink for follow-ups, so your team can instantly see what kind of appointment it is.

Setting a Default Appointment Type

You can mark one type as your default.
When this is set, every new appointment will automatically use that type unless you select another one manually.

This is especially useful if most of your bookings are for a single service, such as general check-ups or first consultations.

Editing or Deactivating Appointment Types

To make changes:

  • Simply update the name, color, or duration, and click Save.

  • If you no longer want an appointment type to appear, turn its Status off.
(It will stay saved in your system but won’t be selectable in new bookings.)

💡 Best Practices from Top Clinics

  • Name appointments clearly: Avoid internal codes; use terms your team and patients understand.

  • Color-code by purpose: Example: blue for new patients, pink for controls, yellow for cosmetic treatments.

  • Review regularly: Update your appointment types quarterly to match your evolving services.

Why This Matters for Your Clinic’s Growth

When appointment types are used consistently:

  • Your reports become meaningful.
You can instantly see which treatment categories fill your calendar most - like Treatment, Exam or Consultation - directly from your dashboard.

  • You understand patient flow better.
The “Appointment Type Ratios” chart shows which services attract the most visits, helping you plan doctor schedules and resource allocation accordingly.

  • Your team works more efficiently.
Receptionists and assistants spend less time clarifying appointment details, and doctors always know what kind of visit is coming next.

  3. Choose a time range (e.g., Weekly, Monthly) and a chart type (Donut, Bar or Table)

  4. Instantly see the share of each appointment type in your clinic’s activity
