What Is the Online Appointment Feature?
The Online Appointment feature allows patients to request appointments directly through a custom link, without needing to call or message the clinic.
This feature helps clinics save time, reduce no-shows, and manage appointments efficiently by letting patients pick available slots based on your predefined schedule.
Once configured, clinics can easily share the booking link via website, WhatsApp, SMS, or email.
1. Setting Up the Online Appointment Link
Go to Settings → Online Appointment Settings.
Click + Add Group to create a new online appointment link.

Name your link (e.g. “Dental Consultation” or “General Treatments”) and click Create.
After creation, click the group name to open detailed configuration.

Click Add Online Appointment Treatment and define:
Treatment name
Duration (in minutes)
Responsible doctor
Slot frequency (how often available time slots appear)
End date for appointment availability
Your setup is now complete, your online appointment link is active and ready to share.
💡 Tip: You can embed this link directly into your clinic website so that patients can book appointments without leaving your page.
Copy the generated link and integrate it with your “Book Appointment” or “Contact Us” button on your website or landing pages.

2. How Patients Book Appointments
When patients open the link you shared, they will see:
Your clinic logo, name, working hours, and phone number on the left panel.
The list of available treatments that you’ve set up.

Booking Steps:
Treatment selection: Patients pick the desired treatment.
Doctor & time: They choose an available doctor, date, and time.
Personal information: Patients enter first name, last name, phone number, and (optionally) a note.
After clicking Create Appointment, a request is submitted.
Note: The request does not automatically appear on your calendar. It will show as a pending request until approved by the clinic.

3. Approving Online Appointment Requests
When a patient submits a request, you’ll see a +1 notification beside the phone icon in the Calendar tab.
Click the icon to view incoming requests; including patient name, phone number, requested date, and doctor.
Review the details:
If the patient is new, click Save Patient and Create Appointment.
If the patient already exists, select the correct patient record and click Create Appointment to avoid duplication.
The appointment will now appear on your calendar.
If the requested time is unavailable, you can edit the date, doctor, or duration before confirming.
To ignore the request, click Delete.

Best Practices
Keep your available slots updated to avoid conflicts.
Use appointment reminders (SMS/Email/WhatsApp) to reduce no-shows.
Embed your booking link on your website and social media profiles to make it easier for patients to reach you 24/7.
